Our expectations for respectful service, worker safety, and fair handling of concerns.

Respect goes both ways

We take time to understand our customers and their needs. We expect everyone involved in our work to treat one another with dignity. Our employees, contractors, and representatives deserve a safe working environment, and our customers deserve courteous, honest service.

This policy applies to appointments, customer premises, remote support, telephone calls, email, online messages, and other interactions connected with our services.

Behaviour we cannot accept

We may pause, decline, or end service in response to:

  • Threats, violence, intimidation, stalking, or deliberate damage to property.
  • Personal insults, degrading remarks, or aggressive shouting directed at someone, particularly where the behaviour continues after a request to stop.
  • Discriminatory abuse, sexual harassment, unwanted sexual comments, or unwanted physical contact.
  • Repeated abusive messages, disclosure of workers' private information to intimidate them, or targeted harassment outside agreed business channels.
  • Blocking a worker from leaving, interfering with safe work, or refusing reasonable measures needed to address a safety hazard.
  • Attempts to pressure a worker into illegal activity, unauthorized access, or work outside an agreed authorization after the limits have been explained.

Frustration, disagreement, a good-faith complaint, a request for a refund, a disputed invoice, a negative review, or seeking legal or regulatory assistance is not by itself abusive behaviour. This policy does not protect Oakmere from legitimate criticism or responsibility for its work.

Authority to pause or leave

Every Oakmere worker is authorized to pause an interaction, end a call or remote session, or leave an appointment when they reasonably believe conduct is abusive or unsafe. They do not need to remain in danger or obtain advance management permission to move to safety.

Where safe and appropriate, we explain the concern, ask for the behaviour to stop, and give an opportunity to continue respectfully. A warning is not required before leaving or stopping an interaction involving a serious threat, violence, severe harassment, or an immediate safety risk.

Workers should leave systems in a safe condition where practical without putting themselves at risk. A manager or the business owner will review the incident and decide on any continuing restrictions or termination, subject to our contractual and legal obligations.

We support workers who raise concerns or use this policy in good faith. This company authorization supplements, and does not limit, statutory workplace safety rights or required procedures.

Fair decisions and accommodations

Decisions must be based on the circumstances and conduct, applied consistently, and proportionate to the risk. Depending on the situation, we may offer a different communication method, a designated contact, a rescheduled appointment with safeguards, or written-only communication.

We do not refuse service because of a characteristic protected by the BC Human Rights Code. We consider reasonable accommodation to the point required by law, including when a disability or communication need may be relevant. We do not assume that a difference in communication style is deliberate disrespect. Immediate protective action may still be necessary while a situation is assessed.

When work is stopped or ended

Where reasonably possible, we explain the decision and any conditions for resuming service in writing. We identify completed work, outstanding tasks, and any known system risks requiring attention.

Charges and refunds are handled under the agreed service terms and applicable law. This policy does not create an automatic penalty or make all payments non-refundable. We refund unearned prepaid amounts except for deductions that are both lawfully permitted and properly agreed.

We arrange a safe, lawful return or handover of customer devices, customer-owned information, and access credentials. We do not delete data, disable systems, or use control of customer accounts as retaliation. Any dispute about payment or possession is handled through lawful processes.

Concerns and review

Customers may request a review by emailing [email protected]. Include the appointment or project details and what you would like us to consider. Where practical, someone other than the person directly involved will review the concern.

We keep relevant incident records, restrict their use to legitimate safety, service, and legal purposes, and handle personal information under our privacy policy. Nothing here prevents a customer or worker from making a complaint to a regulator, obtaining advice, or exercising a legal right.
